Return & RMA Policy

Effective: 11/07/2025

1) Overview

We want you to be satisfied with your purchase. Returns are governed by this Policy and our Standard Terms and Conditions of Sale. An RMA (Return Merchandise Authorization) is required for all returns. No returns will be accepted without a valid RMA number.

2) Eligibility Windows

  • Non-defective returns: Must be requested within 30 days of delivery.
  • Shortage / visible damage / incorrect item / nonconformity: Must be reported in writing within 7 days of delivery with photos and order details.
  • Defective-on-arrival (DOA): Report within 7 days of delivery.

Requests outside these windows may be denied.

3) Non-Returnable (NCNR) Items

The following are non-cancelable and non-returnable except where required by law or expressly agreed in a Seller-signed writing:

  • Custom or built-to-order items, engineered assemblies, special orders
  • Opened battery cells/modules, hazardous materials, or items that have been installed, energized, cycled, welded, bonded, or modified
  • Software/firmware licenses, digital files, documentation sets
  • Clearance/closeout items and items marked "NCNR"

4) Condition Requirements

Eligible items must be unused, undamaged, unmodified, and returned in original, unmarked factory packaging with all accessories, labels, and documentation. Missing or damaged packaging/accessories may reduce the refund or void eligibility. Items returned contaminated with electrolyte, residue, or physical damage may be rejected.

5) RMA Process (Required)

Step 1 — Request RMA: Submit our online RMA form or email sales@evolveelectrics.com with your order number, part numbers/quantities, reason for return, and photos.

Step 2 — Await Approval: We will issue written RMA instructions if approved.

Step 3 — Prepare Shipment: Pack securely; include a copy of the RMA inside the box and mark the RMA number on the outside.

⚠ Hazmat Note: Lithium batteries and related materials are regulated. Do not ship any hazardous materials without written RMA instructions. You must follow all applicable IATA / IMDG / 49 CFR rules. We may provide a compliant label/service at additional cost.

6) Shipping Responsibility & Risk

  • Unless we shipped the wrong item or it arrived damaged/nonconforming within the 7-day window, Buyer pays return freight.
  • Use a trackable, insured method; risk of loss remains with Buyer until received and inspected by EVolve.
  • Original outbound shipping (including duties/brokerage) is non-refundable. If we offered "free shipping," our actual outbound cost may be deducted from any refund.

7) Evaluation, Refunds & Restocking

  • All returns are subject to inspection and functional testing. Items found no-fault-found (NTF) or not as described may be returned to Buyer at Buyer's expense or refunded at a reduced amount.
  • Restocking Fee: Eligible non-defective returns are subject to a 30% restocking fee.
  • Refund Method/Timing: Approved refunds are issued to the original payment method within 7–10 business days of inspection completion.
  • Exchanges: Where stock permits, we can process an exchange instead of a refund; restocking may still apply for non-defective returns.

Restocking Fee: 30%

Applies to all eligible non-defective returns. Defective items verified by EVolve are exempt.

8) Damaged, Incorrect, or Nonconforming Items

Report within 7 days of delivery with photos of the packaging and product. Once verified, EVolve will provide return instructions and cover return/replacement shipping or otherwise remedy at our discretion (repair, replacement, or refund of the affected item).

9) Manufacturer Warranties

EVolve Electrics acts as a distributor/reseller. Manufacturer warranties (if any) are between the Buyer and the OEM. We will help route claims to the OEM where appropriate; OEM RMA terms and timelines apply.

10) International Returns

International returns require prior written approval. Duties, taxes, brokerage, and international freight are non-refundable and are the Buyer's responsibility. Returns must be shipped DDP (duty paid) or per EVolve's written RMA instructions.

11) Refused/Undeliverable Shipments

Refused, unclaimed, or undeliverable shipments returned to EVolve may be treated as a non-defective return and are subject to the 30% restocking fee plus all freight/handling charges incurred.
